We wish here to inform you about the processing of personal data in relation to the use of "GoToWebinar"
We expect you not to make any audio, photographic or video recordings of the online GoToWebinar meeting, neither as a recording nor as a screenshot or in any other way, in order to ensure the protection of the personal data of all participants!
We use the “GoToWebinar” tool to conduct telephone conferences, online meetings, video conferences and/or webinars (hereinafter referred to as: “Online Meeting”). “GoToWebinar” is a service provided by LogMeIn, Inc. that has its head office in the USA.

Note: If you access the website of "GoToWebinar", the provider of "GoToWebinar" is responsible for the data processing. Access to the website is only necessary, however, to download the software for the use of "GoToWebinar".
You can also use "GoToWebinar" by entering the respective meeting ID and, if necessary, further access data for the meeting directly in the "GoToWebinar" app.
If do not wish to or cannot use the “GoToWebinar” app, then the basic functions can also be used via a browser that you can also find on the “GoToWebinar” website.

Various types of data are processed when using "GoToWebinar". The scope of the data also depends on the information you provide before or during your participation in an "Online Meeting".
The following personal data are subject to processing:
User details: First name, last name, telephone number (optional), e-mail address, password (if "single sign-on" is not used), profile picture (optional), department (optional)
Meeting metadata: Subject, description (optional), participant IP addresses, device/hardware information
For recordings (that we make with your consent): MP4 file of all video, audio and presentation recordings, M4A file of alle audio recordings, text file of the "Online Meeting" chat.
Dial-up connection by telephone: Information on the incoming and outgoing call number, country name, start and finish time. Further connection data such as the IP address of the device may also be stored.
Text, audio and video data: During an "Online Meeting", you may have the opportunity to use the chat, question of poll functions. In this case, your text inputs will be processed in order to display them in the "Online Meeting" and, if necessary, to record them. In order to enable the display of video and the playback of audio, the data from the microphone of you terminal device and from any video camera of the terminal device will be processed for the duration of the meeting. You can deactivate the camera or mute the microphone yourself at any time via the "GoToWebinar" applications.
In order to participate in an "Online Meeting" or to enter the "meeting room", you must at least enter your name.
We use "GoToWebinar" to conduct "Online Meetings". If we wish to record an "Online Meeting", we will inform you transparently in advance and - if necessary - ask for your consent. The fact that the meeting is beeing recorded will also be displayed to you in the "GoToWebinar" app.
If necessary for the purpose of logging the results of an "Online Meeting", we will log the chat content. However, this will genereally not be the case.
In the case of webinars, we may also process the questions asked by the webinar participants for the purposes of recording and following up webinars.
If you are registered as a user at "GoToWebinar", report about "Online Meetings" (meeting metadata, telephone dial-up data, questions and answers during webinars) may be stored at "GoToWebinar" for up to one month.
Automated decision-making within the context Art. 22 GDPR is not employed.
Art. 6 (1) lit.f) GDPR forms the legal basis for the data processing. Our interest in these cases is the effective conduct of "Online Meetings".
The legal basis for the data processing for the conduct of "Online Meetings" is also Art. 6 (1) b) GDPR, insofar as the meetings are conducted within the scope of contractual relationships.
If no contractual relationship exists, the legal basis is Art. 6 (1) lit. f) GDPR. Our interest in these cases again is the effective conduct of "Online Meetings".
Personal data processed in conjunction with participation in "Online Meetings" are not shared with third parties as a matter of principle, unless they are specifically intended to be shared. Please note that, as with face-to-face meetings, content from “Online Meetings” is frequently intended to communicate information to customers, prospective customers or third parties and is therefore intended to be shared.
Further recipients: The provider of "GoToWebinar" necessarily receives knowledge of the above data, insofar as this is provided for within the context of our processing agreement with "GoToWebinar".
GoToWebinar” is a service offered by a provider from the USA. Personal data are therefore also processed in a third country. We have concluded a processing agreement with the provider of “GoToWebinar” that complies with the requirements of Art. 28 GDPR.
As a supplementary safeguard, we have also configured our “GoToWebinar” in such a way that only data centres in the EU, the EEA or secure third countries such as Canada or Japan are used to conduct “Online Meetings”.
You have the right to information about your personal data. You can contract us for this information at any time.
In the case of a request for information thats not made in writing, we ask for your understanding that we may require proof from you that you are the person you claim to be.
You also have a right to rectification or erasure or to a restriction of processing, insofar as you are entitled to this by law.
Finally you have a right to object to the processing of your data within the limits of the law.
You also have a right to data portability within the framework of data protection regulations.
We generally erase personal data when there is no need for further storage. Storage may be necessary in particular if the data are still required for the fulfilment of contractual obligations, and for reviewing and approving or declining warranty and possibly guarantee claims. In the case of statutory retention obligations, the data will be erased only on expiry of the respective statutory retention period.
You have the right to complain about the processing of your personal data by us to a data protection supervisory authority.
We amend this data privacy notice in the event of changes in the data processing or in other cases that make this necessary. The latest version can always be found on this website
